POSITION SUMMARY:

Candidate will provide receptionist duties for the front office and administrative support for the corporate team.  Assembles confidential and sensitive information.  Deals with diverse group of external callers and visitors as well as internal contacts within the organization.  This position requires independent judgment to prioritize, plan and execute workload. 

Duties: 

JOB DUTIES:

Responsible for the company's receptionist duties.  Answers phone, takes messages or fields/answers all routine and non-routine questions. 

Establishes, develops, maintains and updates confidential, marketing and filing system for corporate office. 

General administrative functions including developing and typing correspondence.

Responds to routine external correspondence as directed by Top Management. 

Responsible for the company's mail functions.  Opens sorts and distributes incoming mail and prepares outgoing mail to include FED EX.  Ensures mail log is current and updated daily. 

As directed, schedules appointments and maintains Top Management's appointment calendar.

Responsible for travel arrangements to include reservations for hotel, transportation and car rental.

Responsible for coordinating with building management on office requirements such as painting, minor repairs, office keys, phone systems, etc.

Responsible for all office equipment and coordinates service calls as needed. 

Actively participates in QMS meetings and ISO:9001 requirements.

Assists, attends and coordinates marketing events as needed.

Performs other administrative support duties as assigned and required
Qualifications: 

MINIMUM REQUIREMENTS:

High School Diploma.

Must have 3-5 years experience in an office environment. 

Must be able to work overtime on special projects on as needed basis.  ISO 9001 knowledge is preferred. 

Excellent writing, editing and proofreading skills.  Excellent communication skills, both orally and written.  Must have knowledge of office methods and procedures, filing, telephone techniques and office equipment.  Must be knowledgeable in Microsoft Office applications.  Ability to perform administrative support duties with speed, accuracy without immediate and constant supervision.  Must have excellent interpersonal skills to handle sensitive and confidential information and situations.  Must be a self-started and able to work independently with minimal supervision.  Must be able to prioritize tasks and work in a fast-paced work environment.  Position requires poise, tact and diplomacy.  Must be able to maintain a good working relationship with all co-workers and the general public and to use good judgment in recognizing scope of authority. General knowledge of federal contracting preferred.
